Five things to set up before clients can book

HairVia builds each client's booking times from your salon's setup. Work through the five steps below in order and your salon opens up for booking.

Clients see no available times until every step below is done.

If your booking page shows no open slots, it almost always means one of these five steps is still incomplete — not that anything is broken.

The setup checklist

Complete these in order — each one builds on the one before it.

    Set your opening hours
    Tell HairVia which days and hours your salon is open. Booking times can only appear inside the hours you set here.

    Add each staff member
    Invite every stylist to your salon by email. Each person you invite joins your team and can then be set up for bookings.
    Important: a stylist who hasn't been added to HairVia — and fully configured (weekly availability set and marked as bookable in the next two steps) — does not appear as a bookable option to your clients. Clients simply won't see them.

    Set each stylist's weekly availability
    For every stylist, set the days and times they work each week. This is what HairVia checks against your opening hours to work out when that stylist can take appointments.

    Mark each stylist as bookable
    Turn on the bookable setting for every stylist you want clients to be able to book. A stylist who isn't marked bookable stays hidden from clients even when their weekly availability is set.

    Create your services with durations
    Add the services your salon offers, and give each one a duration. HairVia uses the duration to work out how long each appointment takes and which time slots to offer — a service with no duration can't generate slots.

Why are there no time slots?

When clients open your booking page and see nothing available, it means at least one of these five is still incomplete. All five have to be in place before any time slots show up:

  1. Your opening hours are set.
  2. Each staff member has been added.
  3. Each stylist's weekly availability is set.
  4. Each stylist is marked as bookable.
  5. Your services each have a duration.
